Online Manufacturer Price Subscription Service

Bulk updating of parts pricing can now be done either using manual price file uploads to Eclipse or using the Online Price Subscription Service. 


When new manufacturer's pricing becomes available to Ultimate Business Systems, we will reformat the pricing information and upload to our servers - making it available for you to download directly within your Eclipse DMS for any manufacturers you have subscribed to. This takes the hassle out of bulk updating parts pricing by eliminating the need for you to reformat any price files manually and reducing delays in retrieving the latest price changes.


You can configure each manufacturer feed to directly map to available price files (eg. list price, cost price, etc.) or set rules to apply a markup (eg. set list price + 20%).

Checking for Pricing Updates

Under the Parts Management tab click Online Price Update.



This screen shows a list of configuration files set up in your system of the manufacturers that you have subscribed to, displaying franchise name and availability status of the file.



NOTE: You will get a pop-up notification when you open the Parts Module if there is a new update available.


If an update is available for a subscribed manufacturer, the status will change to Update AvailableTo run this update, select the manufacturer line, and then click Process in the bottom right of the screen.


In the next window, check the Effective Date, as you only want to update the file once effective. Then click Start. The screen will display the elapsed time, the time remaining, and how many records are being updated.



File Configuration

To edit the settings on how fields and pricing from the online feed is mapped to your local Eclipse database, select the manufacturer feed then click Edit Configuration. Should you need help with setting formulas for pricing markups, please contact UBS Support.


Note: We recommend keeping Do NOT allow ACTIVE (sold/receipted) parts to change set to unticked, to update pricing





The fields and options available are as follows:


  • Import Description: This will be the description of the file. You can call this anything you like, but keep in mind to label correctly should you have multiple files from the same manufacturer.
     
  • Local Franchise Code: These are the franchise codes set in your system.
     
  • Web-Service Franchise Code: These are Ultimates set franchise codes. If you are unsure, please contact UBS Support.
     
  • Local Parts Master Field: These are fields from our master records on our server.
     
  • Import Data Field: The fields that the Local Parts Master Field will import into within your system.
     
  • Function/Formula: Markups/formulas that you may require. We can assist if you need help setting these up. 
     

Once you are happy with the desired settings, you can click Preview. This will show examples of products and prices the supplier has, what parts prices are in the system, and what will change in the middle line. If the line item is bold, this means the part price will change.


If you receive a configuration file from us, click Import Configuration to apply these settings.
