In the event you sell parts or other stock that you do not wish to track the quantities, you can create non-diminishing parts. You will need to have an associated Income and COS GL accounts linked to the selling of these parts. The same COS GL account is then used to purchase these parts via a creditors invoice.
- The first step is ensuring you have a Miscellaneous Franchise set up (this is usually created by UBS during your initial set up). Click System, then Manage, then Franchises.
- Check to see that you have a Miscellaneous Franchise and that it is not set to Track History, and there is 0 in the Sale Markup field.
- Create your non-diminishing parts using the Add Part function, ensuring the Franchise is set to the Miscellaneous Franchise.
- The next step is to create a non-diminishing parts group. In the Parts Management tab, click Manage Parts Groups.
- Click Add.
- Enter a Code, a Description, and tick the box to make it a Header Group.
- Click Save.
- The last step is applying franchise groups against the sale types. Click the System button, then Manage, then Parts Sale/Charge Type.
- In the Retail line, click the Arrow Button under the Franchise column.
- Click Add.
- Enter the Miscellaneous Franchise Code, and select your Non-Diminishing Parts Group.
- Select your Parts Sales and Parts COS GL Accounts (your accounts may appear different to the below example). Click Save.
- You will need to repeat steps 9-12 for the other Sale Types (Trade, Warranty etc).
