How to sell a part

The New Sale/Client Order function is mainly used to sell parts, but can also be used to create customer quotes, process parts credits, and create internal transfers between branches.



  1. Click on New Sale/Client Order under the Sell Parts tab.
  2. The default Charge Code will be Retail, change here if required.
  3. The default Client will be Cash Sales. If you would like to track sales against a client, enter the client details here.
  4. If the customer has a Client Purchase Order Number, you can enter it here.
  5. Start adding parts into the Part Number field. This can be done by typing the part number, the part description, or scanning a barcode. If you are unaware of the part number, click the Part Number field and the drop-down icon that appears will open the parts search window.
  6. Enter the quantity desired under the Sale Qty column. If the parts are available to be supplied, please ensure the Qty Supplied column is filled in. If parts are needing to be ordered, you may leave this column blank until they have arrived.
  7. If there are Freight/Handling charges, add them here.
  8. This area is used if you are taking a Customer Deposit, or applying a Gift Voucher.
  9. Once all parts and quantities have been added, click Process Invoice on the right side of the window to complete the sale, Save Quote, or Save as Client Order if there are parts that need to be ordered. Send to Picking will create a picking slip for this sale.


The charge code determines what or where the parts are charged to.
E.g. Retail is an over-the-counter sale, Account goes to a customer's account, and Repair Order links the parts invoice with a Service Repair Order

If the Retail charge code has been selected, the payment type will need to be selected after clicking process invoice.



At the bottom of the invoice screen, there are three separate notes tabs.


  1. Invoice Notes - Will be visible to the customer on the invoice.
  2. User Notes - Will not appear on the invoice and can be used internally.
  3. Part Notes - Will appear under the selected part on the invoice.
