How to create and run scheduled journals

For repeating journals you can schedule recurring journals on a weekly, fortnightly, monthly, quarterly, half yearly, or annual basis.



Making a recurring journal a scheduled journal

  1. Under the Accounts Payable or Accounts Receivable tab, click Journal Entry.


  2. Click Recurring Journals.


  3. Select your recurring journal and click Schedule.


  4. Click Add.


  5. Select the Frequency and Start Date. You can add an End Date if applicable.
  6. Tick the checkbox for Will the Amount to be Journaled Changed Every Time this Journal is to be run if the amount will change periodically.
  7. Click OK.



Running Scheduled journals

  1. Under the Accounts Payable or Accounts Receivable tab, click Journal Entry.


  2. Click Scheduled Journals.


  3. There are two sections/tabs, depending on whether you ticked Will the Amount to be Journaled Changed Every Time this Journal is to be run. If it was unticked it will be in the first tab (Journals - Ready to be Run), where if it was ticked it will be in the second tab (Journals - Amounts to be Updated). Select which tab you want to run a scheduled journal from.


  4. You can either select an individual journal you want to run from the list and press Run to just post that one, or press Run All and it will post all scheduled journals that aren't up to date. 


Each press of Run/Run All only posts the journal once, if that doesn't bring the journal up to date you have to press Run/Run All again to post the next scheduled instance



Removing a Scheduled Journal

  1. Under the Accounts Payable or Accounts Receivable tab, click Journal Entry.


  2. Click Recurring Journals.

  3. Select the recurring journal and click Schedule.


  4. Select the schedule and click Delete.


  5. You can now delete the recurring journal if you no longer require it.


Do not remove the recurring journal before getting rid of the schedule
