How to complete the end of year payroll process

Modified on Thu, 15 May at 2:04 PM

Before you can start paying employees in a subsequent financial year you must work through the end of year process for the current financial year, and allow the system to roll over into the next financial year.

Before you can start the end of year process, the following activities must be complete:

  • Payruns: You must run and commit the payruns for all pay periods in the current financial year
  • Employees: Each employee with activity in the current year should have a valid Name, TFN, Birthdate, Address, and Phone details
  • STP Submissions: You must successfully submit all outstanding STP submissions to the ATO

  1. Under the Main tab, click EOFY Process.

  2. The Current Financial Year should be showing as Open.

  3. In the EOFY Instructions tab, you can click the link to open the processing instructions.

  4. Step 1 encourages you to make sure your employees are set up correctly, with the items to check listed.

  5. Step 2 advises to check all company details are correct, with the items to check listed.

  6. Step 3 advises to ensure all payruns and STP submissions have been processed for the financial year.

  7. Step 4 is optional, but recommends that as part of checking your EOFY data, you run and check the reports listed.

  8. Step 5 encourages you to complete a proper reconciliation between your Payroll and Accounting systems.

  9. Step 6 will commit your end of year data and prepare a STP End Of Year Update Event that must be sent to the ATO. Performing this step will also mark your employees as Tax Ready on MyGov. You will need to work through the 4 Stages within step 6. First click Generate File. Then click Send To ATO. We recommend you run the STP Report to check the information being sent. Next you want to periodically click Check Status. Please note it can take some time to be uploaded successfully, as the ATO will be receiving many of these files at this time. Once uploaded successfully, click Finish.

  10. If at any point the file is rejected or fails to be processed, then the status will show Failed and error information can be viewed by clicking View Errors. You will need to examine the description of the error to determine how to correct it. Once you have made the corrections you can restart the process by clicking Restart.

  11. Step 7 is the final step. It finalises and locks all payroll data for the financial year and loads data required to start the subsequent financial year. All changes brought in for the new financial year will be displayed. Click Commit to finalise the end of year process.
