Navigating the Parts Detail Screen

The Parts Detail Screen allows us to view and edit the parts details in depth.


Details



Franchise - The franchise this part is associated with.

Part Number - The part number (Usually provided by the supplier).

Part Description - A short description of the part.

Barcode - A barcode that can be used to search up the part within the system (This can be the suppliers barcode, or a system generated barcode).

Locations - The physical location of the Part, up to three (3) locations can be entered into the system.

Inactive - A tick box used to mark the part as active or inactive.

Image - You can attach an image of the part to display.


Detail - In this area, you can add as much or as little information as you would like with each field acting as a signifier or grouping mechanic.


Most of this information is obtained from the supplier and entered into the system through Parts Price Files.


Dimensions - For freight purposes, product dimensions can be added in these fields.

Date Information - These dates are automatically filled in by the system to show when the part was created, last sold, last received, etc.


Qty (Quantity):

This area is separated by branch and shows the:


    - Branch Description

    - QOH - Quantity on Hand

    - QAL - Quantity Allocated

    - QAV - Quantity Available (QOH - QAL)

    - QRO - Quantity on a Repair Order

    - QOO - Quantity on Order

    - QOB - Quantity on Back Order


If any of these QTY columns look incorrect, you can use the align quantities button to recalculate


Order Details - The order details are mainly used for Stock Order calculation. You can set the Minimum QOH that you would like to always keep, the Minimum Order Quantity, and the Pack Quantity.


Pack Quantity is used to sell the part at different quantities to what it is purchased as.


For example, a 100 metre roll of wire is purchased as a single part form the supplier but sold to customers by the metre.

This would make the Pack Quantity 100.


Parts Pricing would need to be changed to the per metre pricing


The part can be marked as being seasonal (Winter/Summer) and can be chosen to be a stock order part or to remove it from future stock orders.



Pricing



Here you can add all pricing for the part. 

The required fields are List, Trade, and Cost Price, as marked with an asterisk *


Below these are two greyed out pricing fields, Last Cost and Average Cost.


Last cost is determined by the last purchase order containing this part and Average cost by the average of all costs since this part was added to the system



If you are wanting branch-specific pricing, you can enter it in the second pricing fields to the right.


Under calculated pricing, you will see the amount that the part will be sold at dependent on the sale type used. These sale types are set in the System tab.


Movement



The movement tab shows all ins and outs associated with that part, relative to the date range entered.

You will be able to view each purchase order, invoice, and stock adjustment and the date they took place on.


By right-clicking a line in the movement, you can view a copy of the purchase order or invoice.


If you want a correct representation of the current QOH, ensure you clear the date range


History


The history provides a visual overview of the total amount of movement over the past twelve months.


Notes/Supplier Info



Here you can enter the primary supplier for this part, as well as alternate suppliers and their alternate part numbers.

Notes added against the part will be visible on a pop-up whenever the part is added to an invoice or purchase order.


Alternate Parts


These are parts in your system that can be used as an alternate to the part you are currently viewing. 


Supersession Parts




These are parts that a supplier has changed the part number of for a particular reason. This would genuinely be for OEM Suppliers where the Supersession would be contained in the parts price file and uploaded automatically. 


Online Info


This tab is used in relation to an online parts store, managed by Ultimate. If you are interested in more information regarding this, please give our helpdesk a call.
