Navigating the Sale Lookup Screen

Modified on Fri, 13 Sep at 12:24 PM

Under the Sell Parts tab, you will find the Sale Lookup screen. This screen is used to manage your parts sales, credits, and quotes.

The top section of the screen displays the legend and filters.

  1. The coloured dots are visible on each line item in the Sale Lookup, and are a quick guide on whether a sale has been invoiced, is ready to be invoiced, has insufficient QOH, is waiting on supplier order, or waiting on back order.

  2. The date range acts as a filter, and will only show you what has been created within the date range selected.

  3. Invoice filters allow you to search the Sale Lookup via part number and mobile phone number, or filter the list by outstanding invoices and or/ COD (cash on delivery) invoices.

  4. The view on the right hand side allows you to narrow down your view even further.

As with most of the list screens in the Eclipse program, you can right click on the column headings to change what you can/can’t see, and also move them around. Changing these is per user, so you can have a different view to someone else.

You can type in the white field below each column heading to specify your search.

The Invoice Dashboard at the bottom of the screen has the most commonly used actions regarding your invoices.

Print: A quick print of the selected invoice.

Preview: Preview the selected invoice.

Re-Open: This allows you to re-open any closed off invoice. If the invoice is dated in a prior closed off accounting period, it will not be able to be opened.

Credit: This will create a customer credit relating to the selected invoice.

Invoice/Edit: Clicking this allows you to invoice or edit an open parts sale.

Client Order: This function can turn a parts quote into a client order (should you not have the parts quantities on hand), and allows you to add the parts to a supplier order.

Delete: This will delete the selected sale as long as it is open and hasn’t been invoiced.

Deleted invoices can be found and re-opened if deleted incorrectly, just use the filter in the top right to show deleted.

Right clicking on an invoice line will populate more actions available than the common ones in the dashboard.
