How to add a new stock unit in Aura

A stock unit needs to be added prior to being able to create a sales contract, even if you physically do not have the stock yet in the event that you need to order it.


  1. Click the Car Icon to open the Stock List, then click Add.


  2. Choose the Type (Used, New, Demo), and the Classification (Vehicle, Caravan etc), then click Select.


  3. Select the Make, Model, Year, Variant, and Redbook Code, then click Select. If you are unable to find the exact details, click Manually Enter Stock in the bottom right, and manually input these fields.


  4. Enter all Mandatory Fields (marked with a red *).
  5. Click Save.


Mandatory Fields Explained


Status - The status of the stock determines when the value of the stock hits the ledger. 

  • Normal = You have the stock on site and the supplier invoice.
  • Pending = You do not have the stock or the supplier invoice yet.
  • Pre-Trade Deposit = A trade in that you have prior to the sale being delivered.
  • Consigned = You are selling this on behalf of someone else.
  • Rental = Available to be used as a hire vehicle.
  • Company = A company used vehicle.
  • Incomplete = When you need to add more details to the stock at a later time.

Branch - The physical location of the stock.

Invoice Date - The date on the supplier invoice.

Purchased From - The supplier name.

Valuer - Which staff member is adding the stock.

Purchase Price - The purchase price of the stock unit not including any additional costs.


In the event that you are ordering a stock unit and do not know the purchase price, enter as $1 (as it is easy to flag that it needs to be changed), and ensure the stock has a status of Pending (so that nothing is recorded on the ledger until you have all of the information)
