Using reports and creating custom reports in Eclipse DMS

Eclipse DMS includes many standard reports that can help from financial reporting to stock, parts or even staff analysis. Many of these reports can be tailored with various sorting, grouping or filtering options.


In addition, Eclipse comes bundled with tools for you to build vary customised reports to very specific business requirements. We also offer services should you wish for us to build these reports for you.



Where to find reports

Typically reports for each Eclipse module can be found under the Reports tab at the navigation ribbon at the top of the page. The navigating to Reports or My Reports.


However, there are some additional reports you can find accessible from other navigation areas. In particular, from Eclipse Stock and Accounting you can find additional reports under the Accounts Payable and Accounts Receivable ribbon that are not found in the general Reports tab.


Options for standard reports

For each report you may notice various configuration options (these will change from report to report, and may not be included on all reports).

  • Parameters - these fields allow you to restrict and filter the data in the generated report if you want to
  • Sorting Options -
  • Grouping / Options -


Custom Reports through LetterGen

Include with desktop Eclipse DMS installations is a tool called LetterGen. This is a flexible tool that can be used for exporting data, creating mail merges, bulk SMS sending or custom report generation.


It may not appear as a desktop icon, but can typically be found in your Eclipse install path. For example: C:\Program Files (x86)\Eclipse.


Using LetterGen

LetterGen is an advanced tool and can require advanced IT skills for more complex report writing. First steps are connecting to the desired database (please contact your IT or UBS Support if you require assistance).


Once you have opened and connected to a database, you can select one of the existing query types (Sales Records, Vehicle Records, and Client Reports) then configure the filters and sorting options as required. You will then have the option to choose how to use that data (eg. Export, SMS, etc.). For advanced queries, you can select Custom Query as the query type and enter the SQL query (we recommend you consult with UBS Support when using this option). 



Under the Results tab you can also find the Report Designer button that will allow you to build a custom report layout. This is recommended only for the more advanced users.

The LetterGen tool above is primarily designed at the more advanced Eclipse user. However, UBS can work with you to create the reports you need (this sits outside of normal Support and may incur additional charges for this service).
